Page | 72 A. Degree programs or courses directly related to an employee’s current position are eligible for up to 100% reimbursement, up to the maximum benefit cap per calendar year. Reimbursement is contingent upon satisfactory completion of the course(s) with at least a 2.0 grade point average on a 4.0 scale (undergraduate, including associate of arts degree courses) or a 3.0 grade point average on a 4.0 scale (post-graduate courses). B. Degree programs or courses not related to an employee’s current job but related to other City positions are eligible for up to 75% reimbursement up to the maximum benefit cap per calendar year. C. Degree programs or courses outside the scope of City employment are not eligible for reimbursement (except for non-related courses that satisfy approved degree program requirements). The reimbursement schedule outlined above is contingent upon satisfactory completion of the course(s) with at least a 2.0 grade point average on a 4.0 scale (undergraduate, including associate of arts degree courses) or a 3.0 grade point average on a 4.0 scale (post-graduate courses). Items ineligible for reimbursement include, but are not limited to, textbooks, materials, activity fees, parking fees and on-line charges. Tuition and expenses for dropped educational classes will not be reimbursed. In instances where an employee receives other financial assistance (i.e. grants, scholarships or waivers), the City’s assistance will only apply to those amounts not covered by other sources. Repayment Processing – All required documentation must be submitted to Human Resources within six (6) weeks of completion of the approved course(s). Required documentation includes proof of the official course grade and a copy of a receipt for payment of the associated costs for courses in which the employee seeks reimbursement. If an employee is enrolled in multiple courses with varying end dates, documentation must be submitted within six (6) weeks of the completion date of each course. An employee must remain actively employed during the time the class is taken, as well as at the time the reimbursement request is processed for payment. Former employees will not be eligible for reimbursement regardless of their active status at the time the class was taken. Service Requirements/Obligations – To assure that the City of Hutchinson will benefit from the employee’s participation in the program, an employee who receives educational reimbursement will incur an obligation to continue employment with the City for two years from the date of course completion. In the event that the employment relationship is terminated for any reason, excluding job elimination or lay-off, the employee must reimburse the City according to the following schedule: Service Repayment Obligation 0 – 12 Months 100% 12 – 24 Months 50%
