Page | 28 • Refrain from alcohol, drugs or other substances, including prescription or over-the-counter medications that in any way impair driving ability; • Refrain from operating a City vehicle when impaired by illness, fatigue, or injury; and • Exhibit special care when driving in inclement weather or driving in an unfamiliar area. Employees must promptly report any accidents to local law enforcement, their supervisor, and to Risk Management as soon as possible. Employees are also expected to report to their supervisor any moving or parking violations received while driving on City business and/or in City vehicles. CITY ISSUED VEHICLES 316 Vehicles provided by the City are provided to eligible employees to enable them to efficiently perform their job functions for the employer. They are not intended to be a fringe benefit. City vehicles are to be driven by authorized employees only; spouses, other family members, or other non-employees are strictly prohibited from driving City vehicles. Additionally, passengers in City owned vehicles shall be limited to City employees or individuals engaged in official City business. An employee transporting a non-City employee could be held personally liable for damages in the event of a vehicle accident. Employees who have been issued City vehicles may use them for personal reasons on a limited basis (such as doctor’s appointments during the workday). The IRS considers personal use of a City vehicle to be a taxable fringe benefit, and as such all mileage driven in a City vehicle on personal business must be logged and reported to payroll on a quarterly basis for income tax purposes. Traffic citations received while operating a vehicle on City business are the responsibility of the employee, and the City is not responsible for the loss or damage to any personal property that is in City owned or privately-owned vehicles. RESPONSIBLE USE OF TECHNOLOGY RESOURCES 317 The City of Hutchinson provides employees with technology resources for the purpose of improving workplace efficiency and better servicing the public. Therefore, use of the City’s technology resources should be in furtherance of these purposes at all times. Technology resources includes all communications and computing devices and systems, including but not limited to computers, internet connections, intranet connections, networks, servers, electronic mail, storage systems, cell phones, PDA’s and other devices. This policy shall apply to all employees, contractors, vendors, volunteers and all others granted access to any technology resource. While limited personal use of the City’s electronic systems is permissible, users are strongly encouraged to conduct their personal business via personal accounts on non-work time and on non-City owned equipment. Use of City technology resources for political lobbying, fundraising or to conduct business for personal gain is strictly prohibited. All users of the City’s technology resources are required to be aware of, and comply with, all City policies concerning their use, including, but not limited to Ethical Conduct, Standards of Conduct, Mobile Communications Equipment, AntiHarassment, and Personal Social Media Accounts. This policy supplements the aforementioned policies and provides further guidance regarding the appropriate use of these City resources in your job. Data Protection & Confidentiality – By accepting and using computer and email login credentials, employees agree to adhere to all city policies and practices relating to data protection and confidentiality. Users should not leave systems that they are logged into unattended, unlocked or in a state which affords inappropriate access or compromises security.
